Art Cards by Kids (“we,” “us,” or “our”) is committed to protecting the privacy of our customers, schools, students, and website visitors. This Privacy Policy explains how we collect, use, store, and share information. We comply with British Columbia’s Personal Information Protection Act (PIPA).

By using our website, placing an order, or participating in our fundraiser, you agree to the practices described in this policy.

1. Information We Collect

We collect only the minimum amount of information necessary to run our fundraising programs and fulfill orders.

Personal Information:

Child’s first name and age or grade (optional) usually entered on our custom software by the fundraiser coordinator from your school or we enter if asked by school to complete this step. Student last names are not provided to us.
Parent or guardian contact information (email, phone, shipping address if placing a personal order)
School name and teacher contact information
Order and payment details (payments processed securely via Payfirma)

Non-Personal Information:

Browser type, IP address, pages visited
General geographic and device data (for analytics)

2. How We Use Your Information

We use your information to:

Process and fulfill orders
Communicate with schools, parents, and teachers
Produce personalized products
Administer and improve the fundraiser and our website

We do not use any child’s artwork or personal information for advertising or marketing. All promotional artwork is created by Art Cards by Kids employees.

3. Consent

When a school signs up for the Art Cards by Kids fundraiser, it provides consent for us to use students’ artwork as part of the fundraiser. This includes printing artwork on products for families to purchase.

Only the parent or guardian of a child receives a secure code to access and order their child’s products. It is the parent or guardian’s decision whether to share this code with family or friends.

The fundraiser coordinator from your school has access to codes for the purpose of retrieving codes if lost by parent/guardian.

4. How We Share Information

We do not sell or trade personal information. We may share it:

With schools or teachers involved in the fundraiser
With trusted third parties (e.g. Payfirma) to process orders and payments
If legally required

5. Payment Security

Payments are processed securely through Payfirma, a Canadian payment provider. We do not store credit card data on our servers.

6. Children’s Privacy

We take child privacy seriously. Only first names and age/grade may be collected, and only for the purpose of personalizing artwork. This data is not used for marketing or shared publicly.

Only the parent or guardian and fundraiser coordinator from your school has access to the secure ordering code

Parents are welcome to change their child’s name (ie: add last name) if they choose to during the ordering process.

7. Security Measures

We protect information using safeguards including:

Email encryption (parent email provided when placing order)

SSL encryption on our website
Access controls on our ordering system
Secure internal data handling practices

8. Information Retention

We keep information only as long as needed for the fundraiser. Student data is removed after the campaign ends unless otherwise requested by the school.

9. External Links

Our site may link to our social media (Instagram, Facebook, YouTube) and to our custom ordering platform. We are not responsible for third-party privacy practices.

10. Your Rights

As a parent, guardian, or school representative, you may:

Request access to or correction of your personal information
Withdraw consent (where applicable)
Ask questions about our data practices
